GLOSSARY

Active User: A user with proposal access set to grant for at least one proposal and permission level set at above "read only" for at least one file.

ALL users: All users with access to that proposal.

Attributes: Key summary information about a proposal which can be viewed or searched for specific values.

Available User: Users who will show up in the user box in the permissions and groups panels, and allso in the pull down menu for sender for notifications in the workplan. Use of this designation can help avoid clutter.

Check-in: Update a document with a new version or with reviewer comments and revisions.

Check-out: Copy a document to a user's system to allow changes to be made.

Group: A set of one or more users which have the same access privileges (see Permissions).

Notification: Messages sent to designated users when the status of selected tasks change (started, completed, past due -- see Workplan).

Permissions: The type of access allowed to information in the library. There are five permission levels: Read (view only), Review (provide revision notes or comments, but cannot edit a document), Edit (able to change a document), Create (able to add new folders or documents), and Delete (can delete files). Permissions are assigned to Groups (of users) for folders or documents within a proposal (or reference folder).

Reference Folders: Folders containing reference materials, such as boilerplate and templates, which are not part of a proposal, but may be viewed or copied into a proposal for use or modification in that proposal.

System Admin: The VPC admin with access to all proposals and features across all zones.

Third Party Users: Users designated as third party do not have access to attribute features, reference folders, or the all proposal due dates view on the calendar. Access for third party users is configurable for document history, search, action items, calendar, workplan, notification, email, document notifications and seeing other third party users in recipient list.

Tree View: A hierarchical display of folders and documents within a proposal or reference library.

Workplan: A list of tasks to be completed, with assignments and start and complete dates.

Zone: A separate workspace within VPC with its own file tree view and database tables. Only table shared with other zones is user table.

Zone Super Admin: A VPC admin with access to all proposals and features within a designated zone.
